Room Scheduling Priority Timeline

26-27 timeline DRAFT, pending ELT approval

PRIORITY 1A (1/12/2026)
  1. BOD / RAC / CCRS / CORE / TCMPC Board / ELT / ESC 13 Leadership Team.
  2. Center Connections / New Employee Orientation / Internal Planning & Learning Events.
  3. Priority Initiatives as determined by the Executive Director.
PRIORITY 1B (3/9/2026)
  1. Annual Conferences/Events Requiring the Whole Center These events are staples for ESC 13 and have typically occurred for multiple years. These are most often multi-day events or events that can't happen if anything else is taking space and parking at the ESC. This is NOT determined by simply naming something a conference, institute, or symposium. Annual conferences may, in some cases, be booked for multiple years ahead to provide guaranteed space and advanced save-the-dates for clients.
  2. TELI, Educator Certification Cohorts (6-month, 12-month, and 18-month.)
PRIORITY 2 (3/30/2026)
  1. Conferences - Multi-room AND Multi-Day Conferences (must be BOTH and typically requiring the whole center or significant portion of the center) that are not included in the Annual Conference list. These may have premier speakers requiring priority booking or events requiring advanced save-the-dates.
  2. Client Networks and Coops (determined by membership) such as C2, S3, SELN, etc. Priority 2 because they require year-long booking.
  3. Priority Initiatives as determined by the Executive Team.
PRIORITY 3 (4/13/2026)
  1. Workshop series, conferences, and events requiring many rooms for consecutive days or multiple days throughout the year, but with flexibility in dates/space. (A two-day workshop does not count as a series.)
  2. Priority Initiatives as determined by the Executive Team.
PRIORITY 4 (4/27/2026)
  1. Single-day and multi-day workshops that are not ongoing throughout the year.
  2. Internal Department and Team meetings.
  • Exceptions to priority scheduling ONLY with Executive Director approval.
  • Reservations made before scheduled dates without approval will be DELETED.
  • Conflicts that can't be resolved at the department level should be escalated to and will be resolved by Deputy Executive Directors.
  • External organizations wishing to rent or use our rooms will not be booked until after the priority schedule has passed.
  • This timeline for scheduling and publishing is for events that have associated room reservations. Online courses, webinars, and virtual events that do not require rooms at Region 13 can be built, scheduled, and published at any time and do not have to adhere to this priority timeline.
