Room Scheduling Priority Timeline

PRIORITY 1 (Begins 01/01/2024)

BOD / RAC / CCRS / TCMPC Board / ELT / Leadership Team.
Center Connections / Internal Planning & Learning Events.
Annual Conferences/Events Requiring the Whole Center - These events are staples for ESC 13 and typically have been occurring for multiple years. These are most often multi-day events or those that can't occur if anything else is taking space and parking at the ESC.
This is NOT determined by simply naming something a conference, institute, or symposium.
Annual conferences may, in some cases, be booked for multiple years ahead to provide guaranteed space and advanced save-the-dates for clients.
6-month, 12-month, and 18-month Educator Certification Cohorts.
Priority Initiatives as determined by the Executive Team.

PRIORITY 2 (Begins 04/01/2024) (P1 publishing can begin)

Conferences - Multi-room AND Multi-Day Conferences (typically requiring the whole center) that are not included in the Annual Conference list.
These may have premier speakers requiring priority booking or events requiring advanced save-the-dates.
Client Networks and Coops (C2, SELN, BMC, etc) requiring year-long booking.
Priority Initiatives as determined by the Executive Team.

PRIORITY 3 (Begins 04/15/2024) (P2 publishing can begin)

Workshop Series and events requiring many rooms for consecutive days or multiple days throughout the year, but with flexibility in dates/space.
Priority Initiatives as determined by the Executive Team.

PRIORITY 4 (Begins 04/29/2024) (P3 publishing can begin)

P4 publishing can begin on May 13, 2024.

Exceptions to priority scheduling are ONLY with Executive Director approval.
Reservations made prior to scheduled dates without approval will be DELETED.
Conflicts should be escalated to and will be resolved by Deputy Executive Directors.
External organizations wishing to rent or use our rooms will not be booked until after the priority schedule has passed.
This timeline for scheduling and publishing is for events that have associated room reservations. Online courses, webinars, and virtual events that do not require rooms at Region 13 can be built, scheduled, and published at any time and do not have to adhere to this priority timeline.
