Workshop Approval and Publishing Process

Note – Workshops are published in the order they are received. Please allow 7-10 days for publishing. Please do not advertise workshop IDs prior to publishing.

Step 1: Specialist Creates

Create workshops in E-Campus. Pay attention to the details so workshops make it through the process faster. Submit to Coordinator/Team Lead/Designee via email. Always include the workshop ID.

Step 2: Coordinator/Team Lead/Designee Reviews and Submits

Reviews should always include verification of title and catalog description, location, price, budget, and credit hours. Use the Publishing Form on the intranet to submit requests for review and publishing.

***Note - departments/teams may have slightly different processes for submission. For example, a department program manager may be designated as a reviewer for one group while a coordinator may prefer to review for another. Some small teams may even have specialist send their requests directly to the publishing queue. Check with your department or team to confirm the correct process for your group.

Step 3: Professional Development Experience (PDX) team Reviews and Publishes

The PDX team will go over your workshops with a fine-tooth comb. We check all the little details. If we find anything wonky, we will shoot it back to you for correction.

Things to look for

  • Course/Workshop Name– Does this look like something that was part of your annual planning?
  • CPE Credit– We go by the standard of an hour per hour. One hour of seat time is one hour of credit.
  • Description– What is the Course about? Who is it for? Why should they give you their time and money? Be compelling. This prints on the certificate and is what users see first when browsing the catalog. Spelling and grammar count. And consult the Course Description Field Guide for tips.

  • Catalog Notes – This shows in the catalog but not on the certificates. This is not where you request coffee in your room. Do that on your room reservations.
  • Price – Only you know if this is supposed to be free or not.  We assume it is correct and publish it according to what is sent to us.
  • Revenue Code – Required. Unless you want us to pocket your money. We’re cool with that.
  • Registration End Date – Nothing lasts forever. If you leave this empty, we will send it back.
  • Online Course (Canvas) Details - if your course connects to Canvas, be sure we have all the details, such as the Canvas course number and your access start and end dates. If your Canvas course is not yet published, we will assign it to the Learner Experience team for review.


ALWAYS DO A CATALOG PREVIEW
Make sure it looks good when it hits the catalog.  This is what customers will see. Look at it through a customer's eyes.
